Job Overview

  • Position: Patient Administration Clerk
  • Number of Posts: 419
  • Reports to: Project Manager
  • Location: Limpopo Department of Health facilities
    • Capricorn District (105)
    • Mopani District (114)
    • Sekhukhune District (78)
    • Vhembe District (122)
  • Contract: 6 Months Fixed Term
  • Closing Date: 28 August 2025

Key Responsibilities

Patient Registration & Filing

  • Collect personal and demographic information from patients
  • Open patient files and issue follow-up appointment cards
  • Capture patient encounter details and compile manual patient records
  • Ensure pre-retrieval of patient files

Capturing of Patient Information

  • Enter patient data in systems such as PHIS, DHIS, TIER.Net, TB/HIV records, and Web DHIS
  • Extract data from registers (HIV Testing, Adherence Clubs, TB Registers, etc.)
  • Generate Line Lists and Validation Lists for monitoring

Data Management & Reporting

  • Use SOPs to maintain data quality and compliance
  • Compile daily, weekly, monthly, and quarterly reports
  • Support routine data quality improvement initiatives
  • Ensure confidentiality and proper use of health data

General Administrative Support

  • Maintain patient appointments and scheduling
  • Manage movement of patient files
  • Prepare reports and administrative documents

Minimum Qualifications and Experience

  • National Diploma / Bachelor’s Degree in Administration, Financial Management, Accounting, or equivalent (NQF Level 6)
  • Computer literacy (MS Outlook, Word, Excel, PowerPoint, Virtual Platforms)
  • Knowledge of DoH systems (HPRS, DHIS, TIER.Net) – advantage
  • Valid driver’s license – advantage

Job Requirements

  • Willingness to work shifts, including nights, weekends, and public holidays
  • Ability to work overtime on short notice
